Job Description: The Executive Assistant assists the CEO in both professional and personal matters while simultaneously fulfilling duties related to relevant internal and external communications and company directives.
Responsibilities:
- Responsible for daily communications pertaining to the CEO including the maintenance of a personal calendar and any scheduled appointments.
- Serves as an administrative liaison for all positions reporting to the CEO.
- Provides administrative support to the CEO in both sales and managerial capacities. As such the Executive assistant will process preliminary sales inquiries/estimates and will act as a lead coordinator within the organization. This is in addition to assisting the CEO in any duties pertaining to their managerial role within the company.
- Will provide clerical assistance when necessary including the organization and daily maintenance of any relevant communication systems, filing, correspondence, documentation, etc.
- Acts as a point of contact for external matters pertaining to the CEO
- Arrange all personnel functions and appointments; purchase orders; travel arrangements; and requisite supplies (for both the business and home office locations).
- Organizes, plans, records, and transcribes relevant staff, team, vendor and client meetings when necessary.
- Assists the CEO in planning, implementing, and communicating any projects pertaining to the goals and missions of the company.
- Organizes all daily appointments, communications, and general work/personal life to ensure enhanced effectiveness and efficiency.

Must haves:
- Proficiency in administrative, clerical, and secretarial duties.
- Excellent written and verbal communication. Strict attention to detail.
- The ability to multi-task, prioritize, meet deadlines, and work well under pressure.
- Proficient with internet technology, email systems, and Microsoft office; experience with databases.
- Professional demeanor, strong interpersonal skills, and a team-player attitude.
- Valid class 5 British Columbia Driver’s license
- Reliable personal transportation
