    Default Initial Email Script

    Hey guys,
    I've been searching all over the Internet and I could not find a place with scripts for initial emails. For example, when someone registers on your website to access the MLS, you receive an email notification that someone registered. What type of email do you send to your visitor?

    I came up with one of my own:

    "Hi Jen,
    Thanks for stopping by my site at http://www dot ephiladelphiarealestate dot com.
    I hope you found it helpful.

    I would like to help you find a home and my ability to assist you is dependent upon, me understanding your particular needs and wants with respect to finding a home.

    Please provide me with information on what type of home you’re looking for and in what area and I will be more than happy to run a search for you in both, the NLS and MLS systems and email the results back to you, with listings that match your criteria.

    If you have any questions, please don’t hesitate to contact me any time.

    Have a great day, and I look forward to hearing from you.

    Best regards,

    Russell Volk"


    ... and of course my signature at the end.

    This email template has been working fine, but I thought maybe by changing the text to a different style, it might increase the conversion rate. I believe the initial email is extremely important.

    I also know that many of you here call the number that a visitor provided and some of you never call your visitors, just send that initial email. Maybe you can share some snippets of your email and we can all learn how we can improve our communications with our visitors and increase the conversion rate.

    If you don't want to share, that's fine, but perhaps you know of a place where I can find samples and perhaps tailer them to my own style.

    I've found with both rental and sales inquiries it is best to follow the KISS philosophy.

    One I've had great success with is:

    Hi ,

    You submitted a request to search properties on my site at _______. Just wanted to follow up and see if you had any questions or if there were any properties you would like to view.

    To search again, visit:____________

    Thanks for visiting our site, and please call or email anytime if you have any questions.

    That is a nice script. KISS is a great methodology to follow.

    I think the initial email should have some type of 'call to action' phrase in it. Something that will ask the reader to respond and provide more information.

    Thanks, I probably have over a hundred different sales and rental templates I've created over the past several years. I started with multiple paragraphs and both rental and sales eventually led to a couple of sentences. I found through trial and error I was able to get the best and most responses by keeping it simple and straight to the point. Just use a couple of sentences and include some type of question to demand some type of response.

    Mine is a compilation of a few different thoughts and I am beginning to think brevity is the way to go.It is also about 5-6 paragraphs. I'll take my whipping now.

When do you plan to move into this area? I am very familiar with the area and available properties having been in real estate for 20+ years.

    You may feel that you are just beginning your search. You are still in the 'information gathering' phase. There is a lot of data and there are many decisions to be made. Sometimes in searching on the Internet, in ads, and 'on the road', you begin with a tour in mind, and your search becomes an expedition instead. Whatever your timeframe, we can help.No pressure on my end, I 'm here to help.

    Like Dallas Broker, we also found that lengthy does not work. One, two or a couple of simple sentence follow ups every so many days with signature, phone number and web site address (or any occasional hyperlink to something like market trends, etc) gets us the best response. One sentence is always a call to action, ie; How is your search going? Call or email when you get a chance, or give us a call..., Love to hear from you, or Let us know how we can help or Let us know how your search is going.. anyway that's the idea. We don't talk about us. Only one subject an email as well.

    Basically, you'll be lucky if they don't end up in their spam folder and, if not there, lucky if they read a couple of sentences.

    Since we do not require registration, our follow up emails are always responses to:

    a) a request for more info
    b) requested showing
    c) a request for a CMA
    d) request for a relocation packet

    We answer these specifically based on:

    a) Sex of the requestor (males get more brief answers. Women get a more chatty approach)

    b) Demographic info that we can glean from their inquiry. ( email address, comments, type of house they are looking for.)

    Bottomline for us is that we seem to have better luck by answering individually. Part of the difference of handling inquiries instead of registrations IMO

    That is too funny, but I have to agree that the male leads are less likely to read a long email, than a female visitor.

    If I receive an email and it looks like lots of text, it's being deleted. If it's kept sweet and short, I will finish reading it.
