    Default Looking for ideas to sort prospects

    We launched a new site mid-January targeting Palm Beach Gardens Golf Course communities and 6 weeks into the site we now have well over 200 prospect registrations Great problem to have.

    Our current process is to have an assistant sort through the leads each morning and sort the leads out between the three primary target communities. She is also sorting them by price of the properties.

    The Team Leader calls the top prospects ($1,000,000+) and the two other agents contact the prospects in their communities down to a certain price range. The prospects that we can identify as residents we also have the team leader call personally as they are possible listing prospects.

    All the prospects are put on a drip marketing email campaign.

    We are hoping to have the page on our site where we can see the pages/properties that prospects have looked changed to include MLS#, Sub-division, and price of the property. Anyone else have solutions that you have implemented to help manage large numbers of leads?

    During the first day of our launch (4 days ago) we received over 45 new leads and we were a bit overwhelmed (there are only 2 of us). Having worked previous systems this is what I used to do and will be implementing now: I set up a lot of groups (folders) such as relocation (1+ year), relocation (6mos), Active buyers, Foreclosure requests, No Contact-returning to site, Bad Info, etc and assign each lead to a group. I then manage those with a drip campaigns tailored to those leads. On a task manager such as outlook I set specific time frames to just work a specific folder (maybe the first week of June I work the no contacts and Foreclosures, then the second week I work 2 more groups and so forth. It is really helpful to have the drip campaigns set up--saves a lot of time.
