    Default What is the Best Way to Track Assigned Leads

    I am trying to determine what is the best way to track leads that you have already assigned to agents. And I guess I could take it a step further by asking is there a good way (automated in some way) to assign the leads on he fly as they come in.

    If anyone is using some type of software or you have developed some type of system I would love to hear about it.

    Rob - over the last 15 years it seems I've tried just about everything to keep track of my outgoing leads to other agents. Inbound leads go directly into my Act Data base and are now clients that I'm working with. I work with several agents in my office...that I share Internet leads with and for that I use an older version of Act just for that purpose. The four agents are each set up as a group and then when I hand out an Internet lead, I put that client into the data base and then attach them to the group (agent) that got the lead. I like Act over most contact management systems because of the depth of notes, etc I can attach to a lead. It's worked pretty good for me Rob. I also use this same data base for out of town leads that I refer out as well.

    I would imagine that I could just use my regular Act database to accomplish the same task...but since I'm dishing out the lead...I guess I don't do that because those clients are not ones I plan to farm in the future. Once they have been referred out...thats there client, not mine. I don't know if this helps at all...but it sure has worked the best for me to track leads. Sure beats any type of manual system.

    i could never figure out good dependable system for tracking leads assigned to different agents when working on team, all comes down to honesty unless you can get your broker to send you monthly list of closings for agents you work with, then you could compare list to database of leads you referred out to agents

    Trust absolutely, but verify with a simple automated system. Heck...I've been using ACT for 15 years now, and I must have at least 6-7 upgrades over the years. That's why I just use one of my Act versions to Verify. It's very simple to do and once it's set up and it easy to track....

    I trust everybody that I hand leads out to, but things do slip thru the cracks at times and when I am trying to manage 20-30 agents and hundreds of leads/month, it begins to get overwhelming. I really need to look into ACT as I have it somewhere on one of my machine but need to understand closer how to do this (specifically)

    when you have 50-100 leads coming in per day and send to multiple agents who are not under your broker license, there is still no way to track every lead or verify that every agent in fact informed you of the rental or sales lead they closed that you sent, some will slip by

    Act will help you manage but not even the Premium Real Estate 2008 10.0 version can track other agent's closed transactions unless they are entered into database or can it?

    I always used the performance system...if you are sending several leads/day to an agent for an extended period of time and result is little if no closings/month then you know it's probably time to try another avenue. It is always in agent's best interest to report all closed transactions bec. naturally if they are not making you money, you would discontinue leads
