We assign all our registrations to team members and then follow a system very similar to Cal's. As Cal said the leads accumulate over time to a point where all the agents are busy.

I think the number of leads assigned per day is up for debate but their is no doubt the system works.

We re-worked our system at the first of the year and it has made a tremendous difference in our business this year.

I think that's a great idea. Hiring someone to do follow up calls can do a lot for your business. Consistency and prompt phone calls project a professional and trustworthy image. I don't think these assistants need a license to perform the task. Just make sure that they know what they're doing and what they're talking.

There are certain things an unlicensed person can NOT talk about. That would include prices. So if this person actually made contact the assistant if asked about the pricing of a properrty would not be able to answer but would have to inform the inquirer that she/he would have an agent follow up with that information as soon as possible.

I think in your situation that you would be much better off with a licensed assistant because they CAN answer questions about specific properties.

I just hired a lead coordinator two weeks ago. Great concept and I can see how this will be awesome. The lead coordinator must be quick witted and able to write targeted emails. Not dry drip campaigns. The response to targeted and specific emails is much higher. I've noticed that even if I don't get a response back directly from an email that was sent out, I usually see a repeat visit from the lead. It works. Mine is licensed; however, I am concerned that she does not have enough confidence on the phone. So I may be looking for a stronger more vivacious candidate; but, I am sold on the concept!

We only use a licensed lead coordinator. For them to be effective, they need to be able to talk Real Estate.

With that said, after spending a year having our LCA (lead conversion administrator) make all the first calls, we have made a change.

We didn't see much difference between the Agents using the LCA and not using the LCA as far as production.

Two weeks ago we decided to change her role and to only make follow up calls and let the Agents make the first calls. So far the results have been amazing! We know that she saved at least 6 people that might have gone somewhere else and her Agents (she has 4) have written 5 contracts in the the last week. Most of them were attributed to her follow up calls she made the week before. I'll keep you posted, but the more we experiment with this the more we know that follow up is just as important as the first call. Yes, you must make the first call within 24 hours or less, but if you don't follow up, it doesn't matter.

I love this! The fall out is on the follow up...I keep telling my team that they need to touch their clients daily when they are out there looking. I'll bring this back in and have the Lead Coordinator oversee the follow up. Thanks for sharing! Carolyn
