Anybody care to share screenshots of your Groups, Documents, and Campaign manager screens so I can save myself some mistakes when setting it up?

I am not sure anyone would share their custom backend setups (Might be wrong) but perhaps I can help you get started.

Setting up groups: I created a tutorial here http://www.realestatewebmasters.com/...rey/4269/show/ (With screenshots) explaining what Groups are and how to set them up.

Once you have some groups set up up, the next thing you want to do is create your documents.

Before creating a document it is important to understand what exactly a document is. A document is basically a saved email.

Before creating a document, you must first create a category that your document shall be assigned to - think of this much like creating a "folder" in your desktop - it is a way to store and organize your documents logically so that they may be retrieved easily for use as an individual email or as part of a drip email campaign.

For instance - I may want to create a category called "Potential template customers" This will be where I store my emails / formletters that I wish to recall at a later date to send to a lead who has requested info on our template product.

I would then set out creating documents to store in this category, Examples:
"Please send me template pricing information response"
"Please send me examples of live template customers response"
"If I purchase one of your templates do I have to host with you response"
Etc

You can create a document by clicking "Add document" - Documents require that you give them a name, assign them to a category and state whether the email should go out in html or plain text format. If they are not html, you simply write what you want in a plain text area and click "edit document" - If you are creating an HMTL document / email - there is a full wysiwyg editor so that you can create more custom html emails using images, hyperlinks, tables etc.

Adding a campaign - Let's say you want to stay in front of your IDX registrants on a monthly basis.

First you click "Add Campaign" Enter the name of the campaign (only visible to you) the sender name, sender email address, select which groups this campaign is assigned to and set the status to active / inactive. Then click "add campaign.

In this example, I will have first created a group called "IDX registration" and written a series of emails that are meant to be spread out over the course of lets say 6 months which are stored in a document category called "IDX registrant drip emails" and then I will call my campaign "Registered IDX users campaign" or something like that.

Once I have added my campaign, I click "manage campaigns" select my new campaign from the list, and click the "emails" tab.

There is a "send delay" dropdown - this corresponds with the amount of days after they register for them to receive this specific email.

A subject - give the document a subject

And then there is a dropdown to select any of your pre-written documents in your document manager. Click save email and the first email is added.

Click "Add an email" to add as many more emails with their own send delays as you like.

This helped a lot. You may want to append it to the blog referenced above. I knew where I was headed, but didn't want to go the trial and error way and waste a bunch of time.

Does one category checked off equal one drip e-mail triggered and multiple checks equal multiple triggers? (i.e. Is there any danger of bombarding a prospect because of multiple check offs?)

This might be a naive question but when you setup a campaign for something like "IDX Registrants" does the campaign go out to:

- ALL IDX Registrants (including ones already in the system BEFORE the campaign was initiated), OR,
- does it only go out to IDX Registrants that 'register' after the campaign is established

Please clarify since I wouldn't necessarily want to eblast legacy IDX registrants / users with a drip like this.

Hello All

Below I will outline the process of the Most recent CMS 2 campaign emailer script.

Grab a list of the campaigns that are marked as active.

For each campaign:

- Get a list of the groups for the campaign
- Find all the leads that are in ANY of the groups
- Determine the users 'Campaign Day'. This is done as follows:
If they have not yet been sent an email from this campaign
Number of days since they signed up +1 (so that people will get an email the next morning)
Else the number of days since their first time being eligible for the campaign
- Check the user for each email in the campaign. Check the day requirements and if they have been sent the email before.

If the user has not gotten this email before and they have the correct 'Campaign Day' number they will be sent the email.

So there is no danger of having a lead get multiples of the same email (unless you delete and recreate the email).

If you check multiple groups and a lead is in more than one of those groups they will only get one email and their 'Campaign Day' will be based on the first run of the mailer in which they were eligible.

I hope this clears this up a bit.

As for EFS Webmaster I think you have CMS 1 which may be different.

Sorry to bring this post up again but EFS asked the same question that I need to know the answer too and not sure if it was answered, he asked:

I just set up a campaign and to make sure it was working and I want to make sure (I hope) that leads who registered before the campaign was created say 2-4 weeks ago or more will be getting the emails. I went back to the notes of some of the leads and I saw no email was sent to them. I signed up as a new user 3 days ago and the day 3 drip was sent to me but I do not see it being sent to anyone else.

Hey Mike

Sorry for the slow response. I just checked the log from your campaign mailer this morning and it looks like it sent emails to a whole bunch of people.

Could you give an example of a person you think is not getting their emails? What group? Etc.
