In our latest webinar, Account Manager Hanna Wolff took us through the core settings in REW CRM that can make a big difference in how you manage your leads, listings, and data. From managing your lead routing, getting your IDX polished, to customizing fields and handling lead imports, Hanna’s session was packed with useful tips. Fine-Tune Your Lead Management

During the webinar, Hanna delved into how you can streamline lead management with specific settings in REW CRM. Here’s a closer look at these features and how they can enhance your lead handling process.

  • My Listing My Lead- When this setting is enabled, new leads that register on an agent's listings are automatically assigned to the listing agent. This ensures that the agent who is most familiar with the property is directly connected with the lead from the start.
  • Lead Auto-Assignment- This feature automatically distributes new leads evenly among agents who have auto-assignment enabled. It helps balance the workload and ensures that no single agent is overwhelmed with too many leads.
  • Lead Auto-Rotation- With lead auto-rotation turned on, leads that are still pending will be rotated to the next available agent after a specified Rotation Time. This feature prevents leads from going stale and ensures that they are followed up on in a timely manner.
  • Shark Tank- When activated, the Shark Tank setting sends new unassigned leads into a central pool. Agents with Shark Tank permissions receive notifications about these leads and can claim them on a first-come-first-serve basis. This process helps quickly address unassigned leads and makes sure they are promptly handled.
  • Lead Routing- Lead routing helps direct leads to specific agents or pools based on form submissions or MLS criteria. This setting ensures that leads are matched with the right agent or team based on their specific needs or the details provided in their submission.
  • Automated Agent Opt-Out- This setting opts-out agents from receiving leads under certain conditions. It ensures that leads are directed to agents who are actively available and ready to engage.
  • Lead Scoring- The lead scoring feature evaluates leads based on their activity, such as the number of visits and inquiries. On the leads dashboard, you can see these scores, which help prioritize follow-ups and focus on the most engaged leads.

These settings are designed to streamline your lead management process, ensuring that leads are efficiently assigned, routed, and followed up on based on their engagement and criteria.

REW CRM’s IDX Settings

Aside from lead management, Hanna also explored how to fine-tune IDX settings in REW CRM to maximize the impact of your property listings and enhance user engagement. Here are some key setting to focus on:

  • IDX Filters- Customize IDX filters to fit your needs by adjusting their order, selecting which filters to include, and editing the map display. You can also control the number of results shown and decide which selections are highlighted, tailoring the search experience for your users.
  • Saved Searches- Personalize the emails sent for saved searches by configuring the sender and customizing the content. This ensures that users who save their search criteria receive relevant and engaging updates.
  • Featured Results- Ensure your key listings are prominently displayed by featuring them at the top of search results, regardless of the applied filters. This feature helps highlight your office's listings and attract more attention.
  • Registration Settings- Set the level of strictness for registration requirements, determining whether users need to register to access listings, maps, or other content. This balances user access with capturing valuable lead information.
  • Compensation Compliance- This tool in the IDX settings allows you to display buyer compensation information. However, it’s crucial to consult with your MLS to ensure that you’re fully compliant with any new requirements following the recent NAR settlement.

Custom Fields and CSV Import

The webinar also covered Custom fields on the lead details page, which gives you the flexibility to capture and track additional lead information. Whether it’s purchase dates, birthdays, or even details like pets, these fields allow you to enter data that helps you better understand and engage with your leads. This tailored information becomes invaluable when personalizing communication and managing client relationships.

Lastly, Hanna highlighted the CSV import feature in the Settings page. This tool simplifies the process of uploading large batches of leads into the CRM. You can upload up to a thousand leads at a time and easily match columns to ensure the correct data is imported into the appropriate fields. This tool streamlines data management, making it easier to keep your lead database current and comprehensive.
