We built the Source Management feature in REW CRM to help real estate professionals understand which marketing efforts truly pay off. With so many channels available, from paid ads to organic campaigns, it’s easy to get overwhelmed and difficult to pinpoint which strategies are actually working. 

By tracking the performance of every lead source, you can see exactly where your highest-quality leads are coming from and which channels yield the best ROI. Ultimately, our goal was to provide a clear, actionable solution that helps you invest in the right channels and grow your business.

Source Management Overview

How exactly does Source Management support real estate professionals? This tool is designed to capture and organize the origins of your leads, giving you a clear view of where they’re coming from. You can create customized sources, link them to specific referrals like internet addresses or domain names, and track how many leads each channel generates. Additionally, you can assign a spending amount to evaluate the effectiveness of your marketing initiatives. This feature also supports organic campaigns, which provides a comprehensive view of your lead generation.

What is Source View?

Source View, a part of Source Management, was developed as a homepage for analyzing all lead sources and their performance. This page provides an organized table where you can view detailed data on each source, including:

  • Source: The name of the lead source.
  • Leads: The number of leads associated with each source.
  • Spend: The total amount spent on that source within a selected timeframe.
  • Deals: The number of deals generated from the source.
  • Cost Per Lead: Calculated by dividing the total spend by the number of unique leads in that timeframe.
  • Cost Per Acquisition (CPA): Determined by dividing the cost per lead by the conversion rate.
  • Conversion Rate: The ratio of leads to the total number of leads.
  • Volume: The sum of all deals from the source.
  • Unique Parties: The total number of unique leads that resulted in a deal.
  • Commission: The total commission earned from deals related to that source.
  • Gross ROI: A percentage that reflects total revenue (commission) generated, divided by the amount spent on the source.

To give agents a complete picture, Source View also includes a card management feature that displays source totals on these key metrics:

  • Spend: The total value of spends assigned to each source.
  • Cost Per Acquisition: The total spend divided by the number of acquisitions.
  • Return on Investment (ROI): The total value of deal commissions divided by the total source spends, shown as a percentage.
  • Cost Per Deal: The total spend divided by the number of deals.
  • Total Commission: The total value of commissions from deals assigned to each source.
  • Agent Commission: The total value of agent commissions.
  • Broker Commission: The total value of broker commissions.
  • Emails: The total number of outgoing emails to leads.
  • Cost Per Email: The total spend divided by the number of emails.
  • Texts: The total number of outgoing texts.
  • Cost Per Text: The total spend divided by the number of texts.
  • Calls: The total number of outgoing calls.
  • Cost Per Call: The total spend divided by the number of calls.
  • Acquisitions: The number of parties attached to at least one deal.
  • Leads: The total number of leads assigned to the sources.
  • Cost Per Lead: The total spend divided by the number of leads.
  • Deals: The total number of deals assigned to the sources.
  • Volume: The total value of sold deals assigned to the sources.

Setting Up Source Management

Setting up Sources in REW CRM is a straightforward process that ensures you can track and organize the origins of your leads with ease. Here’s how to get started:

1. Log in to your REW CRM.

2. Click “My Setup” in the Leads View.

3. Under Organize, select “Sources.”

4. To create a new source, click the “+” button at the top right.

5. Fill in the required fields, including “Source Name,” “Description,” and “Referrers.” For the Referrers field, just type the referrer you want (e.g., google.com), and the available options will appear.

6. Select the “Log Spend” button.

7. Enter the budget amount and timeframe, then click “Log.”

8. Finally, click “Save” to complete the process.

Once you enter the Referrers, REW CRM triggers an automation to link leads to the Source when they first register. However, you can also manually link leads with referrals to specific Sources, and there's an efficient way to mass assign leads to Sources:

1. Navigate to the Leads page in REW CRM.

2. Select the leads you want to assign to a Source.

3. Click the “More” button and select “Source.”

4. The Source flyout will appear; choose the Source you want to assign to these leads.

5. Click “Save Changes” to apply the Source assignment.

By following these steps, you can ensure every lead is connected to the appropriate Source for more accurate ROI reporting.

Setting Up Source View

Setting up Source View allows you to customize how you view and track key metrics for your marketing channels. Here’s a quick guide to get started:

1. Log in to REW CRM.

2. Click “Sources” at the top of the screen.

3. Click the “View” button in the top right corner.

4. Select “Manage Views.”

5. Click the “+” button to add a new view.

6. Type and choose the metrics or data you want to display in the Source View columns.

7. Click “Save” to apply the changes.

In addition to column views, Source View also offers card views that show source totals, providing a snapshot of key performance metrics. Here’s how to manage card views:

1. Head to the “Sources” page.

2. Click the “Cards” button in the top right corner.

3. Select “Manage Cards.”

4. Click the “+” button to add a new card view.

5. Choose the metrics or data you want to display in the cards (e.g., Spend, Cost Per Acquisition, ROI).

6. Click “Save” to finalize your selections.

By customizing both the column and card views, you can create a highly personalized dashboard that highlights the data and performance metrics most important to your marketing strategy. This flexibility makes it easier to track the success of your campaigns and make informed, data-driven decisions.  

Granting Agent Permission

Admins can control which agents have access to the Source Manager and Source View. There are three permission levels available: view all sources, add and edit sources, and delete sources. To manage these permissions, follow these steps:

1. Log in to REW CRM.

2. Click “Company” from the menu at the top right corner.

3. Select “Agents.”

4. Choose the agent whose permissions you want to modify.

5. Click the dropdown next to “Agent Summary.”

6. Select “Permissions.”

7. Scroll down to “Sources Privileges.”

8. Select the appropriate Sources permission for the agent.

9. Click “Save” to apply the changes.

  • Accurate Source Setup: Ensure that you fill out all relevant fields to help identify and categorize sources accurately.

  • Utilize Referrer Links: For paid ads, always link referrers to your sources to make sure you capture the correct source data.
  • Leverage Source View Features: Take full advantage of Source View to monitor key metrics. Customize the columns to display data that are most relevant to your analysis, such as Leads, Spend, and Cost Per Acquisition.
  • Document Changes and Strategies: Keep a record of changes made to sources and any strategies employed to optimize them. Documentation helps in analyzing what has worked in the past and guides future marketing efforts.
