Anyone have any tips or tricks to make managing Broker/Agent profiles and communication easier?
I manage the company’s two broker/owner’s profiles - one is set up as the super admin, the other is set up as a regular admin. Both send and receive a lot of emails, but when a lead/client replies, I can’t see it. This puts the onus on the brokers to forward me the client’s communication, as the email history on the lead’s profile isn’t 100% accurate or reliable (and I also don’t want to have to daily check hundreds of lead profiles to see if someone has replied). The brokers are very busy and part of my job is to alleviate their workload, so asking them to forward me emails is not working and I don’t have access to their inboxes. I’ve set up some forwarding rules for when people reply to certain emails, but we send out over 50 emails in a year and setting that up for both emails is nuts and further complicates things if a client replies and I DON’T have that one forwarded to me and then it’s missed.
Has anyone else had to navigate this? I can’t be the only person managing multiple profiles for very busy agents who receive a high volume of emails in a day.
I had suggested setting up a dedicated email that I can have both profiles attached to so all communication can go there and be auto-forwarded to all 3 of us, but the broker would like their emails to be what the lead/client sees.
