Hey Everyone,
Well we’ve made it to December and this is the last Product release of 2024! As always, big thanks to the Product Delivery team for their outstanding work in designing and building these features.
Automations
Automations are here to help you automate your workflows and maximize lead management so you can get the most out of each and every lead. Automations can email or text the assigned agent, or any recipient you choose. Reassign that lead to another agent, and/or add a note to an existing lead profile based on a trigger event, notify the agent via email or text and assign the lead to an action plan.
The automation view is located in the CRM. This is where you can see all of the automation rules you have previously set up and the option to add new or search for automations. The automation columns are explained below:
- Automation Rule - automation title and description
- Status - whether the automation is enabled or disabled
- Leads - number of Leads that have
- Execution - how many times the automation has run
- Number of runs/lead - if the automation runs once per lead or multiple times per lead
- Option to delete the automation
When creating automations you can add an automation name, description and tailor the automation to meet your needs with triggers condition and actions.
Triggers
Triggers are the ‘if’ option of the automation, ‘if’ something happens then this prompts the automation to start.
Conditions
Conditions are the ‘and’ option of the automation. Conditions are additional search filters to further customize your automations. Conditions are not mandatory for automations, so you do not need to add any to complete your automation. However if you add conditions, all of them must be met in order for the automation to run.
Actions
Specify which action you would like to start when the trigger occurs and the conditions are met. These actions will affect the leads that meet the automation trigger and conditions. You can add as many actions to an automation as you would like.
Updated the deal header design
The deal header has been updated so you can view and edit the full deal quick note. The save and more button has also been moved to the top of the deal form to allow for easy access to save or edit the deal. When you scroll down to view or edit the deal, the header will now be sticky and follow you.
Quick note history is not fully viewable in leads details page
Able to view the full quick note in the leads activity history so longer quick notes are no longer cut off.
Add a custom sender sender option for emails
Now you can add a custom recipient to send an email to anyone in the CRM. There will be a dropdown option to select the assigned agent or custom sender. If you select the custom sender then you can type in the name and email address and send the email.
Redesigning the Agent notification emails
We have updated the email notification designs. No content in the email will have changed; we have just updated the design by adding the REW header and updating the buttons. The emails that will be updated are:
Types of email notifications Agents can get in the CRM.
- New Lead Assigned to agent
- Lead Un-assigned from agent
- Lead Saved a Listing
- Lead Saved a Search
- Lead Submitted a Form
- Calendar Reminders
- New Lead assigned to Lender
- Lead Rejected by Agent
- Agent received new message response from lead
- Agent received new message from lead
Add new property search filters on Lead View
You will now be able to search what types of properties your Leads have viewed. You can also search by the search preferences your Leads have.
The new filters will be available in the lead view. Any filter with a listing in front of it should show the filters for Leads view. For a full list of all the new filters please see here: Leads View - Data Analysis
Agents also have the option to edit the Lead trending search preferences to manually update that Leads preference. Please note that once you have manually edited the Lead preferences it will not automatically update.
Add reCAPTCHA Protection To Registration Page
We have also added reCAPTCHA protection to the registration page. Like the other reCAPTCHA releases this is all done in the background and is completely invisible to users, but is working hard to make sure any automated bots are being blocked.
Agent assume redirect to agent summary page
We made a small change when you assume an Admin assumes and Agent, they will be redirected to the Agent summary page. Previously users were getting redirected to the dashboard and this was causing lagging issues.
Add View as a filter to Leads View
You are now able to edit what view you would like to see in the leads homepage and save it to you smartlists. To tailor exactly what views and information you need to see in the leads view.
