Automate and Streamline Your Workflow with Action Plans
Action Plans in the REW CRM are designed to help you automate and streamline your lead engagement process. Watch this comprehensive guide to learn the step on how to set up your own Action Plans.
Hi everyone.
Action plans in the REW CRM offer many benefits that can significantly enhance an agent's productivity and workflow. From automation of lead follow ups to consistency in communication, if utilized properly, this feature will guarantee an improvement in your time management and lead conversion. In this video tutorial, I'll walk you through the full setup of an action plan, how you can automate it, and the lead assignment process.
So let's get started. Log in to the REW CRM and navigate to the leads home page.
At the bottom left corner of the page, click on my setup.
And within this modal, select action plans.
This will open up your main page where you can manage all your action plans.
As you can see, I already have a few action plans set up. However, if you're just getting started, you will notice a speed to lead action plan already created for you. We've provided this for all of our REW CRM customers to help jump start their lead conversion.
I'll talk more about this after we've run through the setup.
To create a new action plan, click on the plus new action plan icon on the top right corner of the screen.
Give your plan a name, choose a label color, and write a brief description.
I'll create a basic first contact action plan. And because I want this action plan to be automated, I'm gonna add that to my plan name.
Select the days you want to schedule this task.
Now under automations, you have the option to auto assign leads based on form submissions.
Select the forms you wish to auto assign.
In this section, I want the receive text from Lead Fox ticked. This will remove the lead from this plan once they've texted back.
Go ahead and save your changes.
Once this action plan has been created, you will now see the option to create tasks.
Click on the new task button and select a task you wish to add.
I'm gonna add a text task.
Within this modal, add a task name and the text message you wish to send.
Here's a quick tip. Copy and paste the tags here to help personalize your message.
Optionally add any additional instructions for this task.
Now under automated, I wanna make sure this is set to yes.
With this selected, the system will automatically send my text message task.
For due offset, I'm gonna leave this set to zero. This simply means that this task will take action as soon as a lead is assigned to this action plan.
For the time of day, I want this message sent at ten AM.
And I'll set this task to expire in one day.
Save your task.
Now you will be able to see it added to your action plan.
Let's create another, but this time an automated email.
Again, click on new task and select email.
I'll call this task intro email.
You can decide whether you want this email sent from the assigned agent or from a custom address.
When choosing custom, you have the ability to type in a sender name and email address.
I'll set mine to assigned agent.
If you wish to manually compose an email, type in your subject and email message.
Optionally, the REW CRM has pre built messages you can choose from. Let's try it out.
Click on the drop down under pre built messages.
As you can see, there are plenty of options to save you time for manual entry.
Select an option and the system will auto fill your subject and email message.
Just another reminder, if you're manually typing a message, use our available tags to help automate your email.
To view all the available tags, just click on the blue more tags button.
You can copy it directly from this window.
Once you're happy with your email message, continue to set the rest of your settings to your preference.
And finally, hit save.
I've now created two automated tasks within my first contact action plan.
Save your new changes.
Feel free to add as many tasks as needed for your action plans. It can be as detailed and customized to your liking.
Let's head back to our main action plans page and I'll show you how elaborate our recommended speed to lead action plan is.
At first glance, you can already see there are fifteen tasks created for speed to lead.
We strongly recommend that agents utilize this action plan. Not only will it help improve your conversion rates, build trust, and enhance client relationships, it will give you a competitive advantage in today's fast paced market.
Now that we've gone through how to create action plans, it's time to assign leads.
Navigate to the leads page in the CRM.
The first and easiest way to assign multiple leads is to check the boxes next to each lead you would like to assign.
Then click on the more drop down.
Select action plan and a fly out will appear.
Simply select an action plan you wish to assign these leads to and hit save changes. It's that simple.
Another way to add an action plan on a specific lead is through their lead detail page.
Select a lead.
Action plans will have its own panel.
Expand this section and simply click on the plus action plan button to add this lead to a new plan.
And once it is added, the system will list down all the upcoming tasks to action.
If you have outstanding tasks to complete, it will appear in the notification center. To access this, head back to the main leads page.
Click on the task button on the top right corner of the screen.
A fly out will appear and under action plans, you will be able to see your tasks that are due and what are upcoming.
Click on show more to view each individual tasks.
Complete these tasks in a timely manner to ensure consistent lead engagement.
And now you're all set. Take advantage of this powerful tool that can save you time, improve follow-up consistency, and increase lead conversions that will ultimately result to more closed deals.
