The Back Story
A few months ago, Real Estate Webmasters formed a new product advisory board that will help shape REW CRM to be the best tool in the industry. One of our legendary product advisors and leader of the #1 RE/MAX team in the world, Gary Ashton, shared his insights and inspired the creation of Lead Stage Manager. With over two decades of impressive experience in real estate, Gary understands the importance of leveraging technology to manage leads. We want to create tools and features that will address real agent concerns and empower them to do what they do best: build relationships and close more deals.

Feature Overview
Not every lead is a prospect, and even if they are, should not be treated as one the entire buyer or seller journey. Some are potential clients, which we label as a “lead”, while other people who are not necessarily the primary buyers or sellers, could be tagged as a “contact.” Those we have successfully done transactions with should be labelled as a “client.”
These labels show the specific stage of a lead, whether they’re in the beginning or final part of the journey. But as agents, we know that lead stages cannot always just be categorized into three labels, and some teams have different workflows that require flexibility. With the upcoming Lead Stage Manager, you can add, delete, and organize your own stages to fit your unique needs. By doing this, you can sort, filter, and communicate with your leads in REW CRM more effectively, increasing your chances of converting them into clients. Lead Stage Manager Benefits
Here are more reasons to get excited about REW CRM’s upcoming Lead Stage Manager:
- Full and Accurate Visibility: It is important to know where every lead is in the sales process, and that’s made possible with the Lead Stage Manager. Having this knowledge allows you to tailor your outreach and makes it easier to address prospective clients’ needs. Plus, it helps you spot opportunities that may otherwise be hidden, such as leads that can be nurtured, or clients that are going back to the home search journey.
- Prioritized Follow-Ups: With more accurate lead stages, you can see which leads need to be prioritized to ensure conversion. Some leads may take more time, while others like those who are screened as qualified with high motivation, must be managed more appropriately.
- Streamlined Workflow: Soon, you will be able to move leads through stages more efficiently, which will reduce manual tracking and the risk of letting quality leads slip through the cracks.
- Improved Team Collaboration: The lead stages in REW CRM can be seen by everyone on your team, keeping everyone aligned on where each lead is in the sales journey. This makes it easier to collaborate and even transition if an agent decides to move on.
- Better Analytics and Automations: Lead stages can be used as a filter in the CRM, which can be used in setting up more advanced automations and analyzing your pipeline.
- Better Client Experience: With leads receiving timely, tailored and appropriate attention at every stage, their satisfaction and trust improves.

Best Practices to Keep in Mind
Follow these best practices to make sure you can fully leverage the benefits of the Lead Stage Manager:
- Add Appropriate Stages: The stages should reflect your team's sales processes. Any unnecessary stages should be deleted.
- Define Your Stages: Include a description of the lead stages and ensure that everyone in your team is aligned. This avoids confusion and incorrect labelling.
- Update Lead Stage: Don’t forget to update your lead’s stage as soon as their status changes to maintain the accuracy of your lead information.
- Align Your Strategy with Each Stage: Leads in different stages have unique needs, so tailor your communication and approach, and do not follow a one-size fits all strategy.
